The short answer

To see your XTablo events in Google Calendar, Apple Calendar or Outlook, subscribe to your iCal feed: your events show up in the calendar you already check. Google Calendar can also feed “Your Day” inside XTablo. XTablo is compatible with these calendars through the iCal subscription, and isn’t a partner of any of them.

What is the iCal subscription to XTablo good for?

Your project deadlines, client calls and XTablo events belong where you look at your week: your calendar. Otherwise you open XTablo every time just to see what’s coming.

The iCal subscription puts your XTablo events into Google Calendar, Apple Calendar or Outlook. It’s a subscription: the calendar updates from XTablo.

How do you subscribe Google Calendar, Apple Calendar or Outlook, step by step?

The principle is the same for all three calendars: you add a calendar by its subscription address.

  • In XTablo, open the schedule and copy the iCal subscription address for your events.
  • In Google Calendar, Apple Calendar or Outlook, choose to add a calendar by subscription or from a web address.
  • Paste the iCal address.
  • Your XTablo events appear in your calendar.
  • New events created in XTablo show up there afterward.

How does Google Calendar feed “Your Day”?

In the other direction, Google Calendar can feed “Your Day” in XTablo: today’s meetings sit next to your tasks and current work. This is specific to Google Calendar. Apple Calendar and Outlook go through the iCal subscription.

What does your client see?

Nothing from this connection. The iCal subscription and “Your Day” are tools for your team, on the Studio side. Your client keeps seeing their portal under your logo (the client portal) and the events you choose to show them, project by project.

If you want to offer them meetings, also look at Calendly and Cal.com.

Which teams is it useful for?

Teams of 2 to 7 people juggling several clients: web design agencies, social media agencies, video editing agencies and coaches, to keep every date in one place.

What are the limits?

To avoid surprises, here’s what to know.

  • iCal subscription: your XTablo events flow to your calendar. It’s not a two-way exchange.
  • “Your Day”: fed by Google Calendar only.
  • Update delay: it depends on your calendar, which re-reads the subscription at its own pace.
  • Team scope: the subscription covers your XTablo events, not your clients’ events.
