The short answer
XTablo is client portal software for SEO and PPC agencies, freelancers and consultants. It brings client access, mission steps, content approval and the monthly SEO report together in a branded portal. You keep Semrush, Ahrefs or Screaming Frog for analysis, because XTablo doesn’t track rankings. Search Console and GA4 numbers arrive by CSV import or through Claude. From €49/month (about $55), 7-day trial.

Why do SEO clients cancel?
Clients cancel when they can’t see the work, because SEO is slow. The first effects of a mission often show up after several months, while the client pays from month one. If they can’t see the work, they doubt, then they cancel. The risk isn’t technical, it’s relational.
The second problem is logistics. Something is always missing: Search Console access, the product export, the approval of an article. Each blocker lives in a different email thread and delays the mission by two weeks.
Running an SEO agency means making three things visible: what was done, what’s in progress, what the client has to do. The rest is analysis, which stays in your SEO tools.
How do you structure a typical SEO mission?
Create one project per client and a roadmap with these steps. You can keep them identical from client to client:
- Access and onboarding: Search Console, GA4, CMS, brand brief, known competitors.
- Technical audit: crawl, indexing, speed, errors, fix plan.
- Semantic audit: target queries, keyword mapping, pages to create or merge.
- Technical fixes: tags, redirects, internal linking, structured data.
- Content production: briefs, writing, review, client approval, publishing.
- Link building and visibility: target list, one task per link (site, anchor text, target page, status), progress on links earned.
- PPC campaigns (Google Ads, Meta Ads): campaign structure, monthly budget approved by the client, ads to approve, launch, optimizations.
- Monthly report: traffic, impressions, rankings for key pages, ad spend and conversions, next month’s actions.
Which software features does an SEO agency need, and what does the client see?
In XTablo, only turn on what the mission needs. The client sees what you decide to show them, never your internal notes.
- Steps: the mission roadmap, with dates and progress. The client sees where things stand without asking you (steps).
- Tasks: your tasks (“fix title tags on the category pages”) and the client’s (“give us Search Console access”). They’re notified by email (tasks).
- Files: audits, article briefs, exports. The client approves an article or requests changes, with comments on the file (deliverable approval).
- Forms: an onboarding form collects access, goals and competitors from day one (forms).
- Reporting: clicks, impressions, sessions and key numbers, compared with the previous period (reporting).
- Content calendar: if the mission includes content, plan each article with its status, from idea to publication (content calendar).
- Discussion: the client asks questions in the project, not in ten email threads (discussion).
- Quotes and invoices: a quote for the mission or for ad management, a monthly invoice, without leaving the project (quotes and invoices).
- Project templates: your standard mission (audit, content, link building, campaigns) is copied for every new client (project templates).
Which tools can you connect to XTablo for an SEO agency?
Be clear with yourself about what is connected and what isn’t.
Workflow, direct connection not open to everyone yet. Google Search Console and Google Analytics 4: the direct connection is coded (Reporting would receive clicks, impressions and sessions every 6 hours) and pending Google review. It opens first to testing agencies, and you can ask support for early access. Today, the method that works: export a CSV from Search Console or GA4 and import it into Reporting, or push the numbers through Claude (MCP).
Available now. Claude and ChatGPT drive your projects: create a mission’s steps, the audit tasks, or push numbers into Reporting. Google Drive and Google Sheets are for sharing your audits by link. Notion shows a public procedure page inside the project. Slack links a project to a channel (Agency plan and up). Canva and Figma work for ad creatives that need approval. Loom, YouTube and Vimeo show your walkthrough video of the report inside the project. Calendly and Cal.com and Google Calendar and Outlook handle the monthly call.
In beta. Plenty of clients text on WhatsApp to ask for a number or approve an ad. WhatsApp links those conversations to the right project, and your team replies from XTablo, from the Agency plan up.
Which SEO reporting tools should you keep alongside XTablo?
XTablo doesn’t track SEO rankings and doesn’t crawl sites. Keep Semrush or Ahrefs for keywords and links, Screaming Frog for technical audits, and your CMS (WordPress, Webflow or other) for publishing. None has an integration with XTablo: you combine them by file or by link.
The rule of thumb: analysis stays in your tool, proof of work goes in XTablo. You export the audit as a PDF or spreadsheet and drop it in Files. You write an article, drop it in the project for approval, then publish it in your CMS. You pull 5 key numbers (clicks, impressions, average position, indexed pages, organic sessions) and put them in Reporting.
For PPC, apply the same logic: Google Ads and Meta Ads Manager stay your control centers, and XTablo isn’t connected to those ad platforms. You log in the steps what was launched (new campaign, ad test). The client approves the monthly budget and the ad copy and creatives before they go live, in Files. Each month you export spend, clicks, cost per click and conversions as a CSV and put them in Reporting, next to the SEO numbers.
Which free tools help with SEO client reporting and onboarding?
- The client status report tool to write your monthly update in a few minutes.
- The client onboarding email tool to ask for access without friction.
- The client portal preview tool if you want to see what the portal looks like on the client side.
- The time lost calculator to put a number on what scattered client communication costs you.
What does a typical week with an SEO client look like?
The client should feel a steady rhythm, even when the curves haven’t moved yet:
- Monday: you move the mission steps forward. Content that’s ready goes to approval.
- Wednesday: you handle the client’s feedback on articles, in the file comments.
- Friday: you update tasks and add a client task if a blocker appears (access, approval, product info).
- Start of month: you import last month’s numbers into Reporting, add a short text comment (what’s up, what’s flat, why) and share the portal link.
- 20-minute monthly call: you open Reporting with the client and decide next month’s priorities together.
What mistakes should you avoid when running an SEO agency?
- Promising a fully automatic report. Today, Search Console and GA4 go through CSV or Claude. Tell the client; they’ll accept a monthly export.
- Waiting for access by email. Put “give us Search Console access” as a client task on day one, with a due date.
- Sending a 30-page PDF. A client reads 5 numbers and 3 comments. Put them in Reporting.
- Hiding the technical work. Tag fixes aren’t visible in a browser. List them as client-visible tasks.
- Using XTablo as a rank tracker. It doesn’t do that. Keep your SEO tool for the data.
- Launching an ad or changing a budget without a written yes. Have the budget and the copy approved in the project: you keep a record of who said yes.

No. XTablo doesn’t track rankings or backlinks. It shows the work, gets content approved and centralizes communication. Keep your SEO tool for analysis.
Are Search Console and GA4 connected to XTablo?
Not for everyone yet. The direct connection is coded and pending Google review. Today: a CSV export imported into Reporting, or numbers sent through Claude. You can ask support for early access.
Does my client have to create an account?
No. They open a link to your branded portal. They can install it on their phone from the browser.
Can I use XTablo as PPC reporting software?
Yes for mission tracking, budget and ad approvals, and Reporting with imported numbers (spend, clicks, conversions). XTablo isn’t connected to Google Ads or Meta Ads and doesn’t run ad campaigns.

The WhatsApp integration is in beta: from the Agency plan up, you link a conversation to a project by QR code and your team replies from XTablo. Otherwise, invite your client to the project discussion, no account needed.
How much does it cost?
Freelance €49/month (about $55, 1 user), Agency €79/month (about $89, 3 users), Business €199/month (about $224, 7 users). Prices exclude taxes. No commitment, 7-day trial (card required). Clients never pay (10 on Freelance, 30 on Agency, unlimited on Business).

The report doesn’t generate itself. You import or send the numbers, add your comment, and the client reads it in their portal. Once the numbers are in, Reporting updates and shows the date.
What software does an SEO agency need for client reporting?
