Notion client portal
A client portal in Notion? Here’s where it breaks.
Notion is a great internal tool. As a client portal, it takes a lot of duct tape. Here’s how to do it right, its limits, and what comes next.

The new homepage looks great. Can we make the banner bigger?
Sure, testing a bigger headline and a darker background.
The short answer
You can build a client portal in Notion: one page per client, shared as a guest. It works for 2 or 3 clients. Past that, three limits show up: no row-level permissions in databases (a client may see another client’s data), 10 guests max on the free plan, and a client experience that isn’t built for it (Notion’s interface, not your brand, clumsy on mobile). XTablo is a client portal built for agencies, live in 5 minutes.

How to build a client portal in Notion
If you want to stay on Notion, here’s the safest setup:
- One page per client, never a database shared between clients.
- Share at the page level as a guest: the client only sees that page and its subpages, not your sidebar.
- On the page: project status, links to deliverables, a comments area, upcoming meetings.
- Check permissions for every new client: one wrong filter can expose another client’s data.
The limits of a Notion client portal
Permissions. Notion has no row-level permissions in databases: if clients share a view, you have to separate everything by hand.
Guests. The free plan caps you at 10 guests in total: with 2 or 3 stakeholders per client, you hit the wall at 4 clients.
Client experience. Your client lands in Notion’s interface, not your space. On mobile, they need the Notion app or have to navigate pages designed for desktop.
Maintenance. Every new client means a template to duplicate, permissions to check and pages to update. The time you saved at the start goes into upkeep.
When to switch to a real client portal
The right time: when you have more than 3 active clients, when a client asks “where’s that link again?”, or when you spend more time maintaining Notion than delivering work.
With XTablo, you can keep Notion for internal notes. Client projects move to a branded client portal: each client only sees their projects, progress updates as tasks get done, and clients install your space on their phone in one tap.

FAQ
Can I build a free client portal with Notion?
Yes, on the free plan, up to 10 guests in total. Beyond that you need a paid plan (guests are free on paid plans).
Can a client see another client’s data in Notion?
That’s the main risk: Notion has no row-level permissions in databases. If you share a common database, one misconfigured filter can expose another client’s data. A separate page per client reduces that risk.
Do I have to quit Notion to use XTablo?
No. Many agencies keep Notion for internal notes and run client work in XTablo.
How long does it take to move from Notion to XTablo?
Your space is ready in 5 minutes. The easiest path: start with your next client project.
