Social media agency software: run your clients without chasing approvals

Content calendar, approval, client DMs and WhatsApp, stats, reporting: the exact setup to manage 10 clients without 10 WhatsApp groups.

The short answer

XTablo is client portal software for social media agencies and freelance social media managers. It brings the content calendar, post approval, files, reporting, quotes and invoices into a branded portal that clients open without an account. XTablo doesn’t post to social networks, so keep Metricool, Agorapulse or your scheduler for publishing. From €49/month (about $55) on the Freelance plan, 1 user, clients are free, 7-day trial.

Why does post approval slow down a social media agency?

The bottleneck isn’t creation, it’s approval. A post that’s ready on Monday but approved on Thursday is a missed slot. And when the green light comes as a WhatsApp voice note, an Instagram comment and an email, nobody knows what is actually approved.

The second problem is sprawl. The schedule lives in a spreadsheet, the visuals in Canva, the copy in a Google Doc, the feedback in the client’s DMs. Every client asks for an update, and you spend your week stitching pieces together instead of producing content.

Running a social media agency well means choosing one place per client where they see the schedule, open the visuals and say yes or no. Everything else (creation, scheduling, analysis) can stay in the tools you already use.

Which social media manager tool works for a freelancer?

For a freelance social media manager (or community manager), the tool has to hold several clients at once, without a team to absorb it: several clients, each with their own Instagram account, DMs, WhatsApp chat, shoots or content to collect, plus your own invoicing. The principle is the same: one project per client that holds all of it.

  • Instagram stats: followers, reach, views and interactions go in Reporting. The client reads them in their portal instead of getting scattered screenshots.
  • Posts to approve: each post moves from “Idea” to “To approve”, then “Scheduled” and “Published” in the content calendar.
  • Client DMs and WhatsApp chats: on the Agency plan, you link the client’s WhatsApp chat, or an Instagram group, to their project (beta, details below). On the Freelance plan, the project discussion replaces the group.
  • Shoots and UGC: create the steps “Brief”, “Shoot”, “Edit”, a task in your name for scouting and a task in the client’s name for access. Raw footage and edits go in Files, with a Loom, YouTube or Vimeo link for work in progress.
  • Monthly reporting: the same tab every month, instead of a PDF to rebuild.
  • Flat-fee billing: you drop the quote and invoices in the project. The client signs the quote, you mark the invoice paid and follow up by email from XTablo.

How do you manage social media for multiple clients?

Create one project per client, then a roadmap with concretely named steps. Here is a template that works for most monthly retainers:

  • Onboarding and access: brief form, account access, brand guidelines, tone of voice.
  • Editorial strategy: content pillars, formats (Reels, carousels, Stories), posting frequency per network.
  • Monthly calendar: every idea and post of the month, with date, network and format.
  • Production: writing captions, creating visuals, editing short videos.
  • Client approval: the client reviews, comments, approves.
  • Scheduling and publishing: in your scheduling tool, once the post is approved.
  • Monthly report: key numbers and what you change next month.

Which XTablo apps should you turn on, and what does the client see?

In each project, you only turn on what’s useful. The client sees only what you choose, project by project. They never see your internal workings.

  • Content calendar: each post has a status (from idea to published), a date, platforms (Instagram, LinkedIn, Facebook, TikTok, YouTube, X) and a format. The client browses it in their portal and comments on each post. More in content calendar.
  • Steps and tasks: the month’s roadmap, with tasks for your team and tasks for the client, like “send photos of the new product”.
  • Files: exported visuals, videos, brand kit. The client approves or requests changes, with comments attached to the file (deliverable approval).
  • Discussion: it replaces the client’s WhatsApp group. The history stays in the project, not on your phone (discussion).
  • Reporting: the month’s key numbers, visible to the client when you flip the switch (reporting).

Which social media tools connect to XTablo?

Honestly, there are two groups: what connects today, and what works as a workflow.

Available now. Paste a Canva or Figma link into the project and the preview shows up: the client sees the visual without switching tools. It’s a link, not a sync. Same idea for Loom, YouTube and Vimeo with Reels you’re still editing. With Slack, a project becomes a channel: your team replies from Slack and the reply lands in the project (Agency plan and up). Through Claude and ChatGPT, you can ask for a whole content calendar to be created in one message.

Stats: no direct connection yet. Instagram stats (followers, reach, views, interactions) will reach Reporting through a direct connection: it’s coded and pending Meta review. Meanwhile, you import a CSV export of your stats or push the numbers through Claude (MCP).

Messaging: beta, Agency plan and up. From a project’s Discussion tab, you link a WhatsApp chat (by QR code): its messages show there on the agency side, and your team replies (text and files). Same idea for an Instagram group or conversation: messages and shared videos land in the project. It’s not an official WhatsApp or Meta connection (it goes through our provider Unipile): link a business or team account, not your personal one. On the Freelance plan, the project discussion does the job.

Which scheduling tool should you keep alongside XTablo?

XTablo doesn’t publish to social networks. Keep your scheduling tool (Metricool, Agorapulse, Planable, Buffer or whatever you already use) for publishing and detailed per-network stats. They have no integration with XTablo: the link is your process, not a connection.

The simple combination: the XTablo calendar is for planning and getting approval, the scheduler is for publishing. When the client approves a post, you schedule it in Metricool or Agorapulse and set its status to “Scheduled”. Once it’s live, you set it to “Published”. One rule, one extra click per post, and the client always knows where their month stands.

For creation, Canva stays your workshop. You work there, paste the design link into the project, and drop the final export (PNG, MP4) in Files for approval. The link shows the work, the exported file carries the decision.

Which free resources help a social media manager?

To get started fast, lean on these resources, none of which need an account:

What does a social media approval workflow look like week to week?

A social media approval workflow is mostly a routine, and the routine matters more than the tool. Here is a week that holds up with 8 to 12 clients:

  • Monday: you review the week’s posts in the calendar. Posts that are ready move to “to approve” and the client gets a notification.
  • Tuesday and Wednesday: the client comments or approves from their phone. You handle feedback in order, directly on each post.
  • Thursday: everything approved gets scheduled in your publishing tool.
  • Friday: you prepare next week’s ideas and add a client task if you need something (“send 3 photos of the team”).
  • End of month: you update Reporting (CSV import or via Claude) and send the portal link instead of a PDF.

What mistakes should you avoid when running a social media agency?

  • Approving in Instagram comments or on WhatsApp. No trace, no date. Require approval in the client portal from month one.
  • Turning everything on at once. Start with the calendar, files and discussion. Add Reporting in month two.
  • Assuming XTablo publishes for you. It plans and gets approval. Publishing stays in your scheduling tool.
  • A different calendar format for every client. Keep the same statuses and steps for all of them: you’ll move twice as fast.
  • Forgetting the client’s tasks. If you’re waiting on their assets, create a task in their name with a due date: they’re notified and the follow-up happens on its own.

No. XTablo doesn’t publish to social networks. It’s for planning, getting approval and talking with the client. Keep your scheduling tool for publishing and detailed stats.

Can my client approve a post from their phone?

Yes. They open your portal in their browser and can install it on their home screen like an app, without going through the App Store. They comment and approve in one click.

How do you do social media reporting for clients?

In the Reporting tab, you show followers, reach, views and interactions, and the client reads them in their portal. The direct Instagram connection is coded and waiting on Meta review. Today, you import a CSV export or push the numbers through Claude (MCP).

How many clients can I manage?

Clients are free: 10 on Freelance, 30 on Agency, unlimited on Business. Only your team members count toward the price.

Which plan fits a freelance social media manager?

The Freelance plan at €49/month (1 user, 10 clients) covers the content calendar, files, discussion, Reporting, quotes and invoices. Linking WhatsApp and Instagram to a project needs the Agency plan at €79/month.

Can I reply to my clients on WhatsApp from XTablo?

Yes, in beta on the Agency plan and up. You link a chat to a project, reply from the Discussion tab (text, voice notes, attachments) and the message goes out from your WhatsApp. Linking is done by QR code through a provider: it’s not an official connection, so link a business number.

How much does social media agency software like XTablo cost?
